Some workers - particularly those with visas, pending applications, or EU settled status - are able to prove their Right to Work using a digital Share Code provided by the Home Office.

Providing a Share Code for an online check

If you ask the candidate to complete an online Right to Work check through our integration with TrustID, they'll be able to enter their Share Code as part of the flow.

TrustID will:

  • Fetch the full Share Code report from gov.uk.
  • Compare the photograph with the selfie provided by the candidate and perform their standard liveness and fraud checks.
  • Ask the candidate to upload term-time evidence if their type of visa requires it, and carry out checks on this.
  • Provide an overall report on the identity verification and Right to Work along with any time limit and work restrictions.

The results, including the official Home Office Share Code report, will come back to teamdetails and be stored in the same way as for online passport checks.

Checking a Share Code manually

If you or the candidate would prefer to do the check manually, then the process is as follows:

  • Create a Right to Work check on teamdetails in the usual way.
  • Contact the worker and ask them to provide their Share Code - they should email it directly to you.
  • When you receive the Share Code, use it to retrieve the report from the https://www.gov.uk/view-right-to-work service. You must check the code directly on the Home Office system, it is not sufficient to rely on a copy provided by the worker.
  • Arrange to meet or video call the worker to verify that their appearance matches the photograph on the Home Office document. Check the report to see if you need any other evidence e.g. proof of university holiday dates if the share code report indicates limited term-time working.
  • On teamdetails, complete the normal "Receive Documents" flow. Select the "Share Code report" option from the list of document types. You will be able to record how you carried out the photo check, and any expiry dates or work restrictions.
  • You should also download the report from the Home Office system, and file it securely with your Right to Work documents.

Share Codes may provide a time-limited or indefinite Right to Work, depending on the worker's immigration status. If you enter a "Valid until" date on teamdetails then the system will remind you if a current employee's Right to Work is expiring and needs to be re-checked.
