The document types you can select on teamdetails match those on the Home Office list of acceptable documents, which is set in legislation.
Most potential workers should be able to provide one of the accepted combinations of documents, or a Home Office issued Share Code.
There may, however, be rare cases where they cannot. This might include workers who have an ongoing immigration application or appeal, or those who have been living in the UK since before 1988 without paperwork (e.g. Windrush generation individuals).
In these situations, you must carry out reasonable checks to confirm the worker's identity and then contact the Home Office Employer Checking Service (ECS) to verify their right to work. You will then need to wait for a Positive Verification Notification (PVN) to confirm the worker's status.
To record this check on teamdetails:
- Complete the "Receive documents" step when you carry out the initial identity checks.
- Select "No valid document is available" from the list of document types. You may need to also enter work restrictions if you are aware of them (for example, if the worker tells you that they have applied for a student visa).
- If you have permission, you can still mark that the document / identity check has been verified.
- teamdetails will highlight that you still need to perform an ECS check, and the employment will continue to show that Right to Work checks are in progress.
- When you receive a Positive Verification Notice, record this on teamdetails to complete the check and mark that Right to Work is now established (this feature will be added during the beta period, in the meantime please contact support if required).
