teamdetails provides fine-grained control over which parts of the Right to Work process a user can complete. This will allow you to set up workflows where some responsibilities are delegated, without losing central control & oversight of your organisation's compliance.
You can grant users a combination of five separate permissions:
- Can confirm photos match employees
- View Right to Work summaries (cannot view or edit details)
- Can request Right to Work check for person
- Can receive documents in-person
- Can verify Right to Work checks

Can confirm photos match employees
This is a very limited permission. It only allows users to complete the process of confirming that the selfie submitted with an online Right to Work check looks like the person who is working with you. If a user only has this permission, they will be able to see the list of photos that are awaiting review, and tick them off, but will have no other access to Right to Work features.
This is perfect for delegating this task to line managers, team leaders and colleagues - there's nothing technical or sensitive about checking the photo, it is simply to reduce the risk of a worker impersonating a friend.
View Right to Work summaries
Users with this permission have read-only access to basic information about checks that have been carried out. They are able to see whether a person's Right to Work has been checked, and whether there is an expiry date or any restrictions (e.g. limited hours during term-time). However, users cannot see any detail about the types of documents that were provided, or the reason for a particular Right to Work status.
This is perfect for line managers and team leaders. They will see the relevant information, without having unnecessary access to information about a team member's nationality, immigration status or identity documents.
This permission must also be included for access to any of the more advanced Right to Work permissions.
Can request Right to Work check for a person
These users are able to create new Right to Work checks, for a person with an active employment. They can initiate the process and email people to make arrangements for checking their documents. However they cannot automatically see any details about the checks themselves.
This permission might be useful for a temporary Festival Administrator, who will be appointing people to jobs and issuing contracts, but not directly involved in actually carrying out the checks.
Can receive documents in-person
With this permission, a user can fill in the details of the documents they have seen in-person. They can only do this where a check has already been created, and only if it has not yet been completed. They have no other access to teamdetails (unless you grant additional permissions).
These users will log the details onto the system for another member of staff to verify that the check has been completed correctly.
This is ideal when you might have front-line staff that conduct the physical document check, but you want a second step to ensure that the copied documents have made it back to the HR team with any necessary supporting evidence, and any restrictions have been correctly interpreted. For example, you could grant this permission to front-desk staff, or team leaders that are going to check documents at a training day.
Can verify Right to Work checks
This is the highest level of permission, allowing the user to verify the received documents and confirm that the check has been completed correctly. They can also see all the details of checks that have been carried out previously, for audit or inspection purposes.
These users can either carry out the whole process, or they can just review and verify the checks that have been delegated to staff with the "receive documents" permission.
You would usually restrict this permission to HR and similar staff.
