The employment overview page groups people into categories. Each category provides a different set of bulk actions, appropriate to the status of the employments it contains.

Provisional

These are employees that you have begun to appoint, but not yet formally issued a contract. You may be waiting to check references, or to confirm some final details (for example, you may be negotiating salary for a permanent post).

When you're ready, select the appropriate employees and click "Confirm Offers" to generate and issue their contracts.

Waiting Contract

These are employees who have been offered a role but haven't yet accepted their contract online (or, therefore, completed the new start form). Assuming they're still going to work for you, generally you'd email them to chase them to accept their contract etc. You can do this by selecting them (all, or in groups) and clicking "Email Employees" at the bottom of the page.
 
If any of them are no longer going to work for you then you'd click into the individual employee and click "Withdraw Offer" to cancel their contract. Note they will no longer then appear on e.g. employee lists etc.

Waiting New Start

These employees have accepted their contract but not completed the new start form with e.g. their bank details / tax declaration / emergency contact etc. Again if they're going to work for you the usual resolution is to send them an email chase to come and provide the details required for payroll, or you can click in and "Terminate Employment" for any that have pulled out after accepting their contract. It's possible some have already provided new start for another role - they should still click through to teamdetails to view and confirm their details are still correct.

Ready for Payroll

These are employees that have provided all the info from their side, but have not yet been exported from teamdetails and set up on payroll. They'll move to "Active" once they are included in a payroll import.

If there are any anomalies - e.g. someone who's provided details outside the system or is already on payroll due to having two or more concurrent employments then click into the individual record and "Skip payroll import". This will allow you to link them to their existing payroll reference and mark that they don't need to be imported.

Active

Hurrah! Everything has been completed for these employees - they are on payroll and ready to go.

Expired

These are employees who were originally hired for a fixed term contract and the end date is now passed.

Some may, in reality, have been kept on longer than expected. If this applies, click into the relevant employees and update their expected end date (or transfer them to a new contract if they've moved to a new role with different pay and conditions).

If you select everyone that did finish up on their contracted end date as expected, you can use the "Terminate employments" button to confirm that they have now all left your employment. We recommend doing this regularly to ensure that your system is kept up to date with the details of your current workforce.

Current & Future

This includes everyone from all the groups above, regardless of their employment status. It's useful if e.g. you want to email an entire team ahead of the festival regardless of whether they've finished off their paperwork yet.
