teamdetails will automatically mark a person's record as dormant when:
- They have not been employed in the last 18 months, and
- any applications they submitted have all been archived.
A dormant record will automatically become active again if the person submits a new application or are appointed to a new employment.
Dormant records do not appear when searching for people by name. You can still find them if you enter the exact email address in the person search bar (or if you try to create a new record with the same email address).
When viewing a dormant record, most users will see only the person's name and email address - all other details & history will be hidden.
Users with the "Access dormant personnel records" permission will also see an option to temporarily unlock the record. This will:
- prompt them to confirm that they have a legitimate reason to view the information
- grant them access to view the person's record for up to one hour
- record an entry in the audit log showing that they accessed the record
